What the forms collect
| What | When |
|---|---|
| Name, email address and phone number | When you send a valuation, list your property, contact or download form |
| Property details: postcode, property type, bedrooms, your situation, and anything you write in the message | When you describe a property or a search |
| The postcode, bedrooms and type you enter in the rent estimate | When you use it (the estimate itself stores no personal data unless you then send a form) |
| The page you sent the form from, the first page of your visit, the referring site and campaign (UTM) tags | Automatically with each form |
| Your marketing choice: whether you ticked the box, when, and the exact wording shown | With each form |
Please do not send bank details, health information or identity documents through the website. If you go on to rent or let through us, referencing and identity documents are collected through a separate secure process with its own privacy information.
Why we use it and the lawful basis
| Purpose | Lawful basis |
|---|---|
| Answering your enquiry, valuing your property, arranging viewings, registering your search | Legitimate interests, and steps you ask us to take before a contract |
| Providing the letting, management or sales service you instruct | Contract |
| Right to Rent checks, deposit protection, anti-money laundering checks on sales, record keeping | Legal obligation |
| Sending marketing emails | Consent, through a separate box that is never ticked for you |
| Measuring how the site is used and which pages lead to enquiries | Legitimate interests for the cookieless page count; consent for the analytics cookie and Google Analytics |
| Keeping the forms secure and stopping abuse | Legitimate interests |
We do not sell personal data, and we make no decisions about you by automated means alone. The rent estimate is a range shown to you, not a decision.
Analytics
By default the site counts page views without any cookie: each visit is counted against an anonymous identifier made on our server from a one-way hash of the IP address and browser type, which changes every day, and the IP address itself is not stored. Only if you allow analytics in the banner does the site set a first-party visitor cookie and use session storage to join your pages together, and only then does Google Analytics run, if it is enabled. Analytics records are deleted after about 13 months. The cookie policy lists every item.
Who we share it with
- The Flexiestays group. Enquiries are held in the group's customer relationship system so the right team can answer, for example when a landlord also asks about holiday let management through Sea Breeze Property Services, or a long-stay guest asks to rent a home.
- Referencing providers, when you apply for a tenancy, to check identity, Right to Rent, credit, income and previous landlord references.
- Tenancy deposit schemes, to protect a deposit and serve the prescribed information.
- Landlords and vendors, who receive the information about an applicant or buyer needed to decide, and tenants and buyers, who receive the landlord's or vendor's details where the law requires.
- Service providers who host the site (Cloudflare) or send email, acting on our written instructions.
- Solicitors, regulators, our redress scheme, courts or the police where the law requires or to establish or defend a claim.
Where data is processed outside the UK, we rely on UK adequacy regulations or approved safeguards such as the International Data Transfer Agreement.
How long we keep it
| Data | Retention |
|---|---|
| Enquiries that do not proceed | |
| Landlord, tenant, vendor and buyer records | , to meet legal, tax and anti-money laundering duties |
| Marketing consent records | Until you withdraw; your email then stays on a suppression list |
| Analytics records | About 13 months |
| The analytics visitor cookie | 12 months from when you allow it |
